The Police Association Victoria (TPAV) is among the most influential and high-profile employee organisations in the State of Victoria, representing the industrial, legal and welfare interests of its members. The Office of the Secretary is seeking an experienced individual to undertake the role of Executive Assistant to provide high- level executive support to the Secretary (CEO) and Assistant Secretary (EO). The right candidate is a seasoned professional with a high- level of initiative, diplomacy and excellent communication skills who enjoys dealing with all levels of staff and external parties.

Responsibilities:

  •  Provide executive and administrative support in the Office of the Secretary.
  • Undertake diary management, including the co-ordination of schedules based on an ongoing assessment of priorities in relation to appointments, meetings and private briefings and forward planning.
  • Identify, assess and recommend the priority order of issues for consideration by the Secretary and Assistant Secretary.
  • Consult with the Assistant Secretary and senior management across the organisation, to ensure that advice and information provided to the Secretary is both proactive and identifies emerging issues for attention.
  • Prepare and record correspondence, briefing papers, reports, minutes, agendas, and other materials for a range of regular meetings and conferences attended by staff of the Office of the Secretary.
  • Assist in the planning and preparation of conferences, conference and presentation materials and liaise with individuals and organisations relating to these events.
  • Plan, prepare, distribute and manage board papers, policies and communications.
